This policy explains what personal information Ebookifi collects, why we collect it, how long we keep it, and the choices you have. We keep it simple: we collect only what we need to deliver your order and answer your questions, and we never sell your data.

Who we are

Ebookifi (www.ebookifi.com) provides eBook conversion, print formatting, and related publishing services. For any privacy question, email us at support@ebookifi.com.

What we collect and why

Orders: your name, email address, billing details, and what you ordered. We use them to process your order, deliver your files, send order emails, and keep business records.

Your manuscript and files: the manuscript and any images or other files you send us through your secure upload link. We use them only to complete your order.

Payment: card and PayPal payments are handled by our payment providers. We never see or store your full card number. If you pay by bank transfer (available for orders over $200), we receive the payment details your bank shares with us.

Account: if you create an account, we store your name, email address, order history, and wishlist so you can track orders and download invoices.

Quote and contact forms: your name, email address, country, the service you’re interested in, your message, and any files you attach. We use them to answer your enquiry and prepare your quote.

Newsletter: if you subscribe, your email address, so we can send your welcome code, formatting tips, and KDP updates. Every newsletter includes an unsubscribe link.

Book Scanning & OCR: if you post us a physical book, we use your name and address to identify the shipment and, if you ask, to send the book back.

Visit source: when you place an order, our shop records how you arrived at our site (for example, from a search engine or another website) with that order. This helps us understand which pages bring customers. It is stored on our own site and is not shared with advertisers.

Technical logs: like most websites, our hosting records technical information such as IP address and browser type in server logs, for security and to keep the site running.

We do not use third-party analytics or advertising trackers.

Your manuscript stays yours

We use your manuscript only to complete your order. We don’t publish it, share it, or use it for any other purpose. Your manuscript and converted files are stored securely during the project and deleted from our servers 30 days after delivery. Please keep the source files we send you — they are what we work from if you ever need a correction or a warranty fix.

How long we keep your data

• Manuscripts and converted files: 30 days after delivery, then deleted.
• Order records (name, email, billing details, and what you bought): for as long as we need them for accounting, tax, and legal purposes.
• Account data: while your account is active. You can ask us to close it at any time.
• Quote and contact messages: 12 months, then deleted.
• Newsletter: until you unsubscribe.

Who we share data with

We share personal data only with the services we need to run our business:

• our payment providers, to process your payment;
• our email services, to send order emails and newsletters;
• our website hosting provider;
• a shipping carrier, if we return a book to you.

We may also disclose information if the law requires it. We never sell, rent, or trade your personal data, and we never share it for marketing.

Your rights

You can ask us to:

• tell you what personal data we hold about you and send you a copy;
• correct anything that is inaccurate;
• delete your data, unless we must keep it for legal or accounting reasons;
• stop sending you newsletters (or use the unsubscribe link in any email);
• stop processing your data where we rely on legitimate interests.

Email support@ebookifi.com and we’ll respond within one business day. You also have the right to complain to your local data protection authority.

Users in the EU and UK (GDPR)

We process your data on these legal grounds: to perform our contract with you (orders and delivery), to meet legal obligations (business and tax records), our legitimate interests (site security and understanding how customers find us), and your consent (newsletter). Our service providers may process data outside your country; where they do, we rely on appropriate safeguards.

California residents (CCPA)

We do not sell or share your personal information as defined by the CCPA. You have the right to know what personal information we collect, to request its deletion, and not to be discriminated against for exercising these rights.

Children

Our services are intended for adults. We do not knowingly collect personal data from children under 16.
